Sr. Administrative Assistant

Pride Health is hiring a Senior Administrative Assistant for one of its clients in Wisconsin.

This is an 8-week contract with the Possibility of an extension, offering competitive pay and benefits.

Location – Milwaukee, Wisconsin (53226)

Pay range - $25 - $28 per hour.

Length of assignment – 8 Weeks (Possibility of an extension)

Shift – 1 st Shift Monday through Friday

Job Summary

Supports leadership at an Executive Director level with administrative functions including, but not limited to: calendar management, meeting minutes, itineraries, travel accommodations, and drafting leader communications. Creates spreadsheets, reports, presentations, agendas, and correspondence. Uses discretion in handling confidential information, reception of guests, screening of calls, and assistance with special projects. Duties may vary by leader.

Job Duties

  • Supports an Executive Director with administrative functions, including, but not limited to: calendar management, scheduling conference rooms, area scheduling, agendas, and meeting minutes. Drafts and proofreads leader communications. Schedules leading to itineraries, travel, accommodations, and event planning.
  • Provides customer service to visitors and guests. Assists with phone support, screens calls, directs calls, supports inquiries, and troubleshoots issues.
  • Maintains area supplies at the appropriate inventory levels; anticipates future needs; places orders; and verifies receipt of supplies.
  • Provides leadership with data tracking and reporting for operations in an area (financial, variance, productivity, and quality). Creates metrics, complex data, analysis, billing, budgeting, graphs, and dashboards.
  • Maintains both physical and electronic records for the area.
  • Gathers information for leaders by preparing reports, tables, spreadsheets, and presentations.
  • May assist with billing and budget tracking for an area.
  • Supports the leader’s operational initiatives for an area. Supports committees with administrative duties as needed.
  • Uses office equipment; troubleshoots equipment issues and schedules repairs as needed. Operates standard photocopying equipment, collates and assembles documents for distribution.
  • Coordinates various aspects of the department, such as sorting/delivering mail and email correspondence.
  • Other duties as assigned.

Requirements

  • High School diploma or equivalent.
  • Required Skills & Experience:
  • A minimum of three (3) years of Administrative Assistant or six (6) years of Secretarial experience.
  • Ability to use discretion with handling sensitive information.
  • Competence in the use and knowledge of Microsoft Office products.
  • Microsoft Office (Word, Excel, Outlook)
  • Adobe Professional *

  • Accurate database entry
  • Customer service (position will be the face of the department)
  • Multi-task
  • Quick learner
  • Preferred Skills & Experience:
  • Experience with Learning Management systems.
