Summary

The HR Coordinator will oversee the full lifecycle of human resource operations supporting a team of over 300 Airport Customer Experience Specialists (ACES) and 48 Supervisors across four major airport locations. This position formulates partnerships within the HR function to deliver value-added service to employees while being required to maintain an effective knowledge of the organization’s strategy, culture and industry. This role ensures efficient staffing, compliance with HR and airport regulations, support for training and performance processes, and proactive employee engagement strategies.

This is a field facing, fast-paced position that requires agility, attention to detail, and excellent interpersonal skills to support a diverse and highly dynamic airport service workforce. The ideal candidate should have a broad knowledge of Human Resources as well as general administrative responsibilities. Ultimately, you should be able to contribute to the attainment of specific goals and results of the HR department and the organization.

Essential Functions / Key Responsibilities:

  • Consult with leadership or legal, providing HR guidance when appropriate.
  • Maintain in-depth knowledge of legal requirements related to day-to-day management of employees, reducing legal risks and ensuring regulatory compliance.
  • Analyze HR trends, compensation and metrics in partnership with leadership to develop strategies and recommend action plans for improvement. Develop and monitor overall HR strategies, systems, tactics and procedures across the organization, ensuring legal compliance through the HR functions.
  • Maintain logs for tracking trends in behavior, absences and/or complaints while documenting coaching sessions, disciplinary actions and performance improvement plans. Generate regular HR reports on turnover, absenteeism, performance, and hiring pipeline.
  • Conduct investigations and escalate unresolved issues to leadership and legal counsel as needed. Collaborate with leadership and any other affiliated departments to coordinate corrective actions and exit procedures if necessary.
  • Bridge management and employee relations by addressing demands, grievances, workplace concerns, employee complaints, attendance or other issues.
  • Support payroll accuracy and resolve attendance-related discrepancies. Coordinate with leadership to verify and approve timesheets while monitoring daily attendance, no-shows, lateness and break compliance.
  • Assess training needs, monitor training programs and organizational values and DEI initiatives. Collaborate with leadership to ensure employee training completions, compliance with ADA, OSHA and anti-harassment training standards.
  • Maintain the integrity and confidentiality of new hire, employee and human resource files and records and conduct periodic audits of HR files.
  • Work with administrative assistant to ensure all employees meet airport security and credentialing requirements while tracking expirations of airport badges, certifications and training renewals, and maintaining up-to-date personnel files in accordance with TSA and local labor laws.
  • Administer health, welfare and benefit plans, including enrollments, changes and terminations and acts as liaison between staff and external providers. Process required documents working alongside the accounting department through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
  • Answer frequently asked questions from applicants and employees related to standard policies, benefits, hiring processes, time & attendance, etc.
  • Promote positive, inclusive and safe work environment across all locations. Support open forum feedback, wellness programs and work-life balance initiatives for ACES staff.
  • Implement and coordinate the planning and execution of special events such as benefits enrollment, staff recognition and award programs, board meetings, employee recognition events, holiday, birthday and retirement celebrations.
  • Performs other related duties as assigned within the appropriate skill and experience capabilities expected for this position. 

Basic Qualifications

Pre-requisites:

  • Must be a local (in-state) resident.
  • Valid In-State Driver’s License.
  • Successfully pass pre-employment drug screen and background check.
  • Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986.
  • Must complete SIDA training to obtain airport authority identification security.

Education:

  • Associate’s in Business Administration, Human Resources or related field.

Experience:

  • Minimum 2 years of HR generalist or coordinator experience.

Knowledge, Skills & Abilities:

  • Strong problem-solving and conflict resolution skills.
  • Excellent customer service skills.
  • Must have excellent interpersonal and communication skills.
  • Must have sound organizational and tech skills.
  • Familiarity in HRIS systems and competency in MS Office Suite.
  • Exposure to recruiting, onboarding and training processes.

Preferred Qualifications

Education:

  • BSc/BA in Business Administration, Human Resource Management or relevant field. Additional education in Human Resource management will be a plus, e.g., PHR or SHRM-CP certification.

Experience:

  • Minimum 3 years of HR generalist or coordinator experience, preferably in aviation, hospitality, or unionized environment.
  • Familiarity with airport security clearance processes and shift-based workforce.
  • Demonstrated ability in dealing with collective bargaining agreements and experience with represented labor.
  • Familiarity with disability, health benefits and unemployment processes.

Knowledge, Skills & Abilities:

  • Familiarity and comprehension of recruiting, onboarding and training processes as per EEO and AA compliance.
  • Ability to be an assertive problem-solver, apply creative solutions and make sound decisions that can have positive impacts on the team and organization
  • Articulate communication and collaborative skills which can be applied when interacting with the operations and leadership team.
  • Strong leadership qualities and mindset with the ability to motivate, guide and retain an efficient, high-performing workforce.
  • Must be organized, detail-oriented and tech savvy, especially with MS Office Suite. You will be exposed to and expected to become proficient in several other programs as well such as ATS systems. Familiarity with the workflow of payroll systems will be a plus.
  • Arbitration and mediation skills are a requirement to deal with employee conflict and resolutions.
  • Bilingual (English/Spanish) a plus.

Working Conditions

Work Schedule:

  • Weekdays: Monday to Friday. 9am – 5pm

Work Environment:

  • On site at four major airports, mix of office and terminal environments.
  • Exposure to varying airport operational conditions and passenger traffic volumes.

Physical Demands/Requirements:

  • Fast paced and require regular walking, standing, and travel between concourses.

Supervisory Responsibilities

  • Coordinator or Generalist experience required.
