Ultimate Staffing is seeking a Receptionist to manage front desk operations and provide cross-functional administrative support. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in delivering excellent service to both internal teams and external guests.

Key Responsibilities:

  • Serve as the first point of contact for visitors and staff, ensuring a warm and professional experience.
  • Manage incoming calls, including answering, transferring, and conferencing using Microsoft Teams.
  • Coordinate mail and package handling, including scanning, sorting, and distributing incoming and outgoing items via USPS, FedEx, and UPS.
  • Maintain inventory of office supplies and refreshments, placing orders as needed.
  • Keep shared spaces clean, organized, and welcoming.
  • Support scheduling needs for leadership and assist with event coordination.
  • Assist with document preparation, scanning, filing, and distribution across departments.
  • Collaborate with various teams to ensure smooth operational workflows.
  • Perform other administrative tasks as assigned.

  • Microsoft Teams Proficiency - Comfortable with chat communication, call handling, calendar navigation, and conferencing.
  • Professional Services Experience - Ability to present a polished and professional demeanor in a client-facing environment.
  • High-Volume Phone Management - Skilled in answering and transferring calls using a headset and Teams interface.
  • Mail Processing Expertise - Familiarity with postage meters and handling mail logistics across multiple carriers.

Preferred Qualifications:

  • High school diploma or equivalent required; college degree preferred.
  • Minimum of 2 years' experience in a professional office setting.
  • Background in professional services, legal, or financial environments is a plus.
  • Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • Excellent organizational and communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
