Payroll & Billing Specialist (Direct Hire)

Are you an experienced  Payroll and Billing Specialist looking for a stable, full-time role with a fast-growing company? We are a leading commercial cleaning company in South Florida, and we are looking for a detail-oriented expert to manage our high-volume payroll and client billing operations.

This is a  Direct Hire, Onsite position based in our  Plantation, FL office.

Must be able to speak Spanish and English.

What You'll Be Doing (Key Responsibilities)

This is a critical, hands-on role where you will ensure the accuracy of payments to our employees (500+ across South Florida) and timely billing to our clients.

Payroll Management

• Process  bi-weekly payroll for 500+hourly and salaried employees.
• Validate timesheets, job codes, and labor allocations for accuracy.
• Ensure full compliance with company policies and labor regulations.
• Work with HR and Accounting to quickly resolve any discrepancies.

Billing & Accounting

• Prepare and send  client invoices accurately and on time.
• Manage  Accounts Receivable (AR)and proactively follow up on past-due balances.
• Enter, track, and reconcile billing data directly in  QuickBooks .
• Assist with  Accounts Payable (AP)as needed.
• Support month-end closing processes and maintain accurate financial records.
• Generate detailed payroll and billing reports using  Excel .

What You'll Need (Requirements)

• Minimum 5 years of professional experience dedicated to payroll and billing.
• Strong experience managing  high-volume payroll (200+ employees is preferred) .
• Expert-level proficiency with both  QuickBooks and  Excel .
• Familiarity with standard payroll systems/software (e.g., ADP, Paychex, etc.).
• Exceptional organizational skills and a strong attention to detail.
• Proven ability to work efficiently in a fast-paced environment and consistently meet deadlines.
• Excellent communication and problem-solving skills.
• Bonus: Prior experience in a service industry (cleaning, staffing, hospitality, etc.) is a plus!
