The Hotel Contractor position is responsible for negotiating and finalizing hotel business partnership contracts as outlined by Traveling Teams Inc.’s standard operating procedures.

Position Summary:

The Hotel Contractor is responsible for maintaining the company’s brand image and delivering exceptional customer service. This entails providing our customers with ample, quality hotel options at the lowest rates available while developing strong, long-term business relationships with each property. They are responsible for understanding the needs of the teams that will be placed at the selected properties and of the hotels themselves. They work primarily on an independent basis, but may – at times – be expected to collaborate with others internally. Whenever every effort has been exhausted, the Hotel Contractor may escalate concerns to the management team for resolution.

General Duties/Responsibilities:
  • Maintain the highest level of communication standards and facilitate proactive conversations that build strong business partner relationships;
  • Review and quickly follow up on contracts, hotel bids, special requests, and addendums;
  • Negotiate and secure the highest quality hotels at the best rate closest to the event venue;
  • Contract a variety of hotels that can meet any team’s needs;
  • Collaborate with other departments and hotels to accommodate special requests;
  • Perform regular room rate audits by shopping online to guarantee the lowest rates;
  • Ensure integrity and competitiveness in relevant markets;
  • Analyze and utilize daily and weekly reports to meet and exceed agreed-upon timelines of completion of all hotel contracting standards for each designated event;
  • Communicate with department managers and members of the Executive Management Team on high-level issues to ensure appropriate response and resolution,
  • Maintain regular consistent and professional attendance, punctuality, personal appearance, and adherence to other relevant health and safety procedures, and
  • Perform all daily duties as assigned by Supervisor(s).

Education and Experience:
  • High school diploma or equivalent required; Associate’s degree or higher preferred.
  • 1-3 years prior front desk/hotel operations experience preferred.
  • Preferred education background: hospitality, business administration, or sports management.
  • Relevant job titles: Group Sales Manager, Front Desk Lead, Front Desk Supervisor, Reservations Manager, Front Office Manager, Guest Services Supervisor, Sales Account Executive, Group Services Coordinator, Event Coordinator, etc.
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must see in normal visual range, with or without correction.
  • Must hear in the normal audio range, with or without correction.
  • Must be able to handle stressful situations and maintain strong mental acuity.
  • Must be able to adequately move around the office setting, with or without correction.
