Job Description
Overview: We are seeking an Executive Assistant to provide vital administrative support to the President, playing a key role in the smooth running of daily operations. In this position, you'll need to be highly organized, detail-oriented, and comfortable juggling multiple priorities in a fast-paced environment. This is a hybrid role, allowing you to work remotely and in the office, with occasional travel required.
Key Responsibilities:
Calendar Management: Keep the President's calendar accurate and up-to-date by scheduling meetings, appointments, and conference calls.
Travel Coordination: Plan and organize both domestic and international travel, including flights, accommodations, and itineraries.
Communication & Correspondence: Draft, proofread, and edit a variety of communications such as emails, letters, and documents. You'll also be the first point of contact for both internal and external communications on behalf of the President.
Meeting Coordination: Prepare agendas and presentation materials, take meeting notes, and follow up on action items to ensure timely completion.
Project & Task Management: Track deadlines, collaborate with cross-functional teams, and provide regular status updates to ensure projects are on track.
Office & Virtual Support: Work with office staff to manage supplies, coordinate IT support, and ensure the President's remote work setup runs smoothly.
Confidentiality & Discretion: Handle sensitive information with care and discretion, maintaining the highest level of confidentiality at all times.
Qualifications & Skills:
Experience: 3-5 years of experience in an Executive Assistant, Administrative Assistant, or similar role supporting senior leaders.
Education: A bachelor's degree in business administration or a related field is preferred; however, equivalent work experience will be considered.
Technical Proficiency: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools like Zoom and Teams.
Organizational Skills: Excellent at managing multiple tasks and priorities with exceptional attention to detail.
Communication: Strong written and verbal communication skills, with the ability to interact professionally at all levels.
Flexibility: Comfort with a hybrid work environment and adaptability to changing schedules, with occasional travel required.
Problem-Solving: A proactive approach with strong critical thinking skills, initiative, and resourcefulness.
Interpersonal Skills: A professional demeanor, ability to collaborate with diverse teams, and handle high-pressure situations effectively.
