Job Description:

Summary:

Under the direct supervision of executive leadership, this position will manage complex schedules, create professional presentations and handle a variety of administrative tasks with precision and discretion.

Essential Duties and Responsibilities:



 

  • Coordinate and maintain multiple executive calendars, including scheduling meetings, appointments and travel arrangements.

  • Design, edit and format high-quality Powerpoint presentations for internal and external meetings, ensuring content is accurate, visually appealing and professional.

  • Organize and prepare for meetings, including securing venues, preparing agendas, coordinating all meeting details and follow up on action items.

  • Draft, proofread, and edit correspondence, reports and other documents as needed.

  • Arrange travel itineraries and be prepared to assist with changes as necessary due to flight delays, or other disruptions.

  • Prepare monthly expense reports in a timely and accurate manner for assigned executives.

  • Assist with planning and executing HR-related events, such as team meetings, training sessions and associate recognition programs.

  • Provide general administrative support including managing files, ordering supplies and handling sensitive information with confidentiality.

  • Collaborate on HR projects and initiatives, providing logistical and administrative support to ensure timely completion.

  • Utilize advanced features of Microsoft Office Suite (Word, Excel and PowerPoint) to enhance productivity and deliver polished and accurate work products.

  • Interact professionally with a wide range of high-profile callers, visitors, and internal stakeholders at all organizational levels.

  • Utilize independent judgment to plan, prioritize, and manage workload effectively in a dynamic environment.

  • Sort, prioritize and distribute incoming mail and packages, as well as prepare outgoing correspondence, ensuring timely and accurate delivery.

  • Handle routine requests for information promptly and accurately, ensuring consistent and reliable communication.

  • Serve as the lead coordinator for special projects, ensuring tasks are executed efficiently and objectives are met on time.

  • Ensure all deliverables are precise, well-organized, and effectively communicated to meet the highest standards of quality.

  • Willingness to adjust work hours, including occasional overtime, weekends, or after-hours availability, as business needs require.

Qualifications:

  • Outstanding relationship-building skills..

  • Expertise in Microsoft Office Suite, particularly Excel, Word and PowerPoint. Experience with HRIS systems is a plus.

  • Expertise in utilizing Google Workspace applications including Docs, Sheets, Slides and Drive to streamline tasks and enhance productivity.

  • Exceptional ability to multitask, prioritize and manage time effectively in a fast-paced environment.

  • Excellent verbal and written communication skills, with a keen eye for detail.

  • Professional demeanor with the ability to interact effectively with all levels of staff and external partners.

  • Resourceful and proactive in resolving issues independently and efficiently.

  • Demonstrated ability to handle sensitive information with discretion and professionalism.

  • Ability to operate standard office equipment, such as computer work stations, and copiers.

  • None

Education and/or Experience:

  • Associate’s degree a plus

  • Three - Five years as an Executive Assistant supporting HR or C-suite executives

Computer and Software Skills:

  • Microsoft Office Suite

  • Google Suite
