Our firm is seeking a dynamic and experienced Executive Assistant. This role requires an individual who is professional, detail-oriented, organized, and can manage multiple tasks simultaneously. The ideal candidate will have a minimum of 5 years of experience in a similar role, with a strong focus on calendar management and organization. This position will work closely with our executive team, providing high-level administrative support that includes a variety of administrative tasks, project coordination, and maintaining confidential and sensitive information.

Responsibilities:
  • Provide full administrative support to the executive team, including managing complex calendar scheduling, arranging travel itineraries, and coordinating meetings.
  • Coordinate and manage special projects as assigned, ensuring deadlines are met.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • File and retrieve documents and reference materials.
  • Conduct research, collect and analyze data to prepare reports and documents.
  • Manage and maintain executives' schedules, appointments, and travel arrangements.
  • Arrange and coordinate meetings and events.
  • Record, transcribe, and distribute minutes of meetings.
  • Monitor, screen, respond to, and distribute incoming communications.
  • Interact with clients, senior management, and other staff members professionally and efficiently.
  • Ensure smooth and efficient flow of day-to-day operations.
  • Uphold a strict level of confidentiality and professionalism.
Qualifications:
  • A minimum of 5 years of experience as an Executive Assistant or similar role.
  • Bachelor's degree in Business Administration or related field is preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with calendar management and organization.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and ability to multi-task.
  • Ability to work independently and as part of a team.
  • Excellent problem-solving and decision-making skills.
  • Ability to handle confidential information with discretion.
  • Strong attention to detail.
  • Ability to work in a fast-paced, dynamic environment.
  • Proven ability to handle multiple projects while meeting deadlines.
  • Exceptional customer service skills.
