Position: Executive Assistant to the CEO
Employer: Idaho Trucking Association 
Location: Meridian, Idaho
Schedule: Monday – Thursday (32+ hours per week)
Compensation: $19-$23 hr. + Paid Federal Holidays

About the Idaho Trucking Association (ITA):

The Idaho Trucking Association is a trade organization dedicated to advocating for the interests of the trucking industry in Idaho. We work closely with lawmakers, regulatory agencies, and industry leaders to promote policies that support safe and efficient trucking operations. Our association provides valuable resources, networking opportunities, and educational programs to help our members navigate industry challenges and succeed in their businesses.

Position Overview:

The ITA is seeking a highly organized and detail-oriented Executive Assistant to support the CEO in managing a variety of administrative and operational tasks. This role requires a proactive and adaptable professional who can handle membership management, event planning, bookkeeping, social media, and board relations. The ideal candidate should be self-motivated, excellent at multitasking, and able to maintain smooth day-to-day operations within the organization.

Key Responsibilities:

• Front Desk & Member Support: Answer calls, greet visitors, maintain a welcoming office environment, and assist with membership inquiries.
• Membership Management: Handle invoicing, dues tracking, collections, and maintain an up-to-date membership database.
• Bookkeeping & Financial Administration: Manage financial records using QuickBooks Online , perform monthly reconciliations, and collaborate with the accountant.
• Event Planning: Coordinate and manage major events (conferences, conventions), oversee logistics, sponsorships, and marketing efforts.
• Truck Simulator Dispatch: Schedule and manage the logistics of the ITA’s truck simulator for student programs.
• Board & Committee Coordination: Track board members, organize meetings, prepare agendas, minutes, and financial reports.
• Marketing & social media: Manage social media platforms, send weekly email blasts, and update the organization’s website.
• Sponsorship Management: Actively seek sponsorships for events and programs while ensuring sponsors receive appropriate recognition.

Qualifications:

• Strong organizational and time-management skills.
• Proficiency in Microsoft Office Suite, QuickBooks Online, and Outlook (Minimum 2 years of QuickBooks online experience required)
• QuickBooks knowledge tests will be required of applicant
• 1-2 years of experience with corporate media posts on Facebook, X, Constant Contact 
• Excellent written and verbal communication skills.
• Strong problem-solving abilities and abilities to work independently.
• Experience in event planning, membership management, and bookkeeping is a plus.
• Ability to multitask and prioritize tasks effectively in a fast-paced environment.
